Title

Report

RECOMMENDATION:

It is recommended that the Board of Supervisors:

a. Approve and authorize the Director or Assistant Director of the Department of Social Services to sign an agreement with One Workplace for the period of April 19, 2023, through June 30, 2028, in the amount of $2,000,000 to purchase furniture and furniture installation for the Department of Social Services; and

b. Authorize the Director or Assistant Director of the Department of Social Services to sign up to three (3) amendments to this Agreement as long as they do not exceed 10% ($200,000) of the agreement amount or significantly change the scope of work.

 

SUMMARY/DISCUSSION:

This five-year agreement is for the provision of ergonomic furniture including sit/stand adjustable desks, workstation paneling, cabinets, office chairs, conference room furniture, monitor arms, lobby furniture that is easily cleaned and other peripheral office furniture and equipment.  The agreement also provides for delivery, installation, training, and removal of old furniture.  One Workplace will pay prevailing wages pursuant to California Labor Code and comply with all its requirements.

 

The Department of Social Services (DSS) issued RFP #10879 on September 22, 2022, and proposals were received on November 10, 2022.  Two responsive proposals were received, one from One Workplace L. Ferrari, LLC (One Workplace) and one from KBM-Hogue (KBM), and One Workplace was awarded.

 

OTHER AGENCY INVOLVEMENT:

The Auditor-Controller and Purchasing have reviewed and approved this Agreement. County Counsel has approved the Agreement as to form.

 

FINANCING:

Funding for this agreement is provided with a combination of Federal, State and Realignment revenues. Sufficient appropriations and estimated revenues in 001-5010-SOCOO5 are included in the FY 2022-23 Adopted Budget.  All future year costs will be included in the budget requests for each of the respective fiscal years.

This agreement correlates to the Administration and Health & Human Services Strategic Initiatives adopted by the Board of Supervisors by providing a safe, efficient, and healthy environment for DSS employees to provide services for our customers.
