RECOMMENDATION:
It is recommended that the Board of Supervisors:
Approve and authorize the Contracts/Purchasing Officer or his designee to execute a County Standard Agreement with Choura Events for rental of event furniture and equipment at WeatherTech Raceway Laguna Seca for a term beginning April 1, 2021 through December 31, 2022, for a total amount not to exceed $1,500,000 over the term of the Agreement.
SUMMARY/DISCUSSION:
A&D Narigi Consulting, LLC requests approval of this agreement to use Choura Events, Inc., for event equipment, furniture and design at WeatherTech Raceway Laguna Seca.
Choura shall provide all ordered equipment and/or furniture rentals to satisfy events and other operational needs. A&D Narigi Consulting, LLC advises that Choura will ensure its services reflect a world-renowned racetrack that has world-wide coverage and welcomes top sponsors of the sporting industry.
This agreement is a two-year agreement and was not sent out to competitive bid as recommended by County procurement policies. It is recommended that A&D Narigi Consulting, LLC be directed to begin a competitive bid process by May 2021 in order to have a new contract in place for the 2022 season ensuring the County receives the best rates. This contract has a 30 day no cause cancellation clause which would provide opportunity for a change in vendors as determined by a full Request for Proposal process.
OTHER AGENCY INVOLVEMENT:
The Office of County Counsel has approved the Agreement as to form.
FINANCING:
The contract with Choura Events. will be funded through Fund 453 Laguna Seca Budget Unit 8536. Funding for the Agreement is included in the FY 2021-2022 Approved Budget. Approval of the recommended action will have no additional impact on the County General Fund.
