RECOMMENDATION:
It is recommended the Board of Supervisors:
a. Authorize the Chief Executive Officer for Natividad Medical Center (NMC) or his designee to execute an agreement with MealSuite, Inc. for food service software services at NMC for an amount not to exceed $41,364 with an agreement term August 1, 2025 through July 31, 2026.
b. Approve the NMC’s Chief Executive Officer’s recommendation to accept non-standard contract provisions within the agreement.
SUMMARY/DISCUSSION:
MealSuite is the core cloud-based platform powering foodservice management behind the scenes. It offers the infrastructure required for recipe management, nutrient analysis, inventory control, production planning, and compliance documentation. While staff-facing tools appear under the BluePrint 360 label, MealSuite is the foundation that drives much of the functionality.
MealSuite works independently as a full foodservice management system, capable of supporting hospitals, long-term care facilities, and other healthcare institutions. However, in this case, it also functions jointly with another software used by staff at Natividad to facilitate patient-specific services and tray workflows.
For Natividad Medical Center, MealSuite will serve as the system of record for menu planning, therapeutic diets, food production, and inventory. It allows detailed configuration of hospital menus, dietary restrictions, and forecasting tools that enable cost control and food safety.
Benefits include:
• Centralized management of menus, recipes, and allergens
• Automated production sheets and forecasting tied to census changes
• Digital tracking of inventory usage and expiration
• Support for documentation required by Title 22 and other regulations
• Integration capability with the EHR to align dietary orders with food production
MealSuite is necessary to enable the back-end functions that support BluePrint 360. The two systems function in tandem, with MealSuite ensuring that the data behind meal service is accurate, up to date, and fully compliant.
OTHER AGENCY INVOLVEMENT:
The Office of County Counsel has reviewed and approved this agreement to form, and the Auditor-Controller has reviewed and does not approve the non-standard payment provisions. The agreement has also been reviewed and approved by NMC’s Finance Committee and by its Board of Trustees on June 13, 2025.
FINANCING:
The cost for this agreement is $41,364 of which $39,856 is included in the FY 2025-26 Recommended Budget. Amounts for remaining years of the agreement will be included in those budgets as appropriate. Funding will be provided from NMC’s Enterprise Fund 451-9600-6407.
BOARD OF SUPERVISORS STRATEGIC INITIATIVES:
This project supports the BOS Strategic Initiative for Health and Human Services by improving the quality, safety, and personalization of nutrition care provided to hospitalized patients. Implementing MealSuite will streamline meal delivery, reduce errors related to dietary restrictions and allergies, and enhance patient satisfaction-ultimately supporting better health outcomes for Monterey County residents.
