RECOMMENDATIONS:
It is recommended that the Board of Supervisors:
Approve and authorize the Contracts/Purchasing Officer or Contracts/Purchasing Supervisor to execute Amendment No.5 between the County of Monterey, and Salinas Valley Collision Repair, for an increased cost of $56,556.46 for services provided for a (3) three-month period, July 1, 2020 to September 30, 2020 resulting in a revised total contract amount not to exceed $1,286,556.46.
SUMMARY/DISCUSSION:
On June 10, 2013, the County of Monterey, entered into an agreement with Salinas Valley Collision Repair to provide auto body repair services for Monterey County Fleet Management to service County of Monterey vehicles, for a term of six (6) years for the period of June 10, 2013 to July 1, 2019. The parties renewed and amended the original agreement multiple times and most recently, extended the term to continue services in order to allow enough time to complete the Request for Quotes (RFQ) #10751 for future auto body services. Salinas Valley Collision Repair was selected to provide auto body services and the new Master Agreement became effective on October 1, 2020.
During the period of July 1, 2020 to September 30, 2020, Salinas Valley Collision Repair continued to provide services to Fleet under Renewal and Amendment No.3 to cover the time period immediately preceding execution of the new Master Agreement. However, when Fleet prepared Renewal and Amendment No.3, it failed to specify the amount of funds needed for those services. Fleet requests to amend the agreement to correct this error by authorizing the expenditure of funds in the amount of $56,556.46 for services already provided by Salinas Valley Collision Repair from July 1, 2020 to September 30, 2020. This request will conclude the old Master Agreement to fulfil the gap between the current agreement that expired on September 30, 2020 and the new Master Agreement beginning on October 1, 2020.
OTHER AGENCY INVOLVEMENT:
The Office of the County Counsel and the Auditor-Controller have reviewed and approved Amendment No. 5 as to form and fiscal provisions, respectively.
FINANCING:
Costs associated with the proposed Amendment No. 5 are included in the Fiscal Year 2020-21 Adopted Budget, Fund 001, Dept.1050, Unit 8451, Appropriation Unit CAO025. The current budget includes $1,286,556.46 for auto body repair services, which is adequate to cover costs associated with Amendment No. 5.
