RECOMMENDATION:
It is recommended that the Board of Supervisors approve and authorize the Monterey County Laguna Seca Representative to execute Amendment No. 1 to the Non-Standard Agreement between Sunbelt Rentals Inc. and the County of Monterey for heavy equipment rentals at WeatherTech® Raceway at Laguna Seca adding $75,000 for a revised total amount of $375,000.
SUMMARY/DISCUSSION:
This request supports the use of Sunbelt Rentals Inc. (Sunbelt) for heavy equipment rentals in accordance with requirements provided by the County, its vendors, marketing partners and affiliates at WeatherTech® Raceway at Laguna Seca (WRLS). The use of Sunbelt’s service is necessary to the overall success of events held at WRLS. The County and Sunbelt executed a retroactive Non-Standard Agreement on May 2, 2023, to provide services for the term beginning April 20, 2022, through December 31, 2023.
Due to extensive utilization of Sunbelt’s services during the 2023 race season, it has become necessary to increase the not to exceed sum an additional $75,000 making the total agreement amount $375,000.
OTHER AGENCY INVOLVEMENT:
The Office of County Counsel and Auditor-Controller’s Office reviewed and approved the proposed Agreement as to form and fiscal provisions, respectively.
FINANCING:
The amended cost of the contracted services provided by Sunbelt Rentals Inc. is not to exceed $375,000 for the duration of the Agreement. These fees are funded through Fund 453, Unit 8579, Appropriation Unit PFP067 for Laguna Seca Recreation Area. Funding for the Agreement is included in the FY 2023-24 Approved Budget. Further amendment to extend the term after December 31, 2023, will be requested only if deemed necessary.
