Title: a. RECOMMENDATION:
It is recommended that the Board of Supervisors:
a. Approve and authorize the Director of the Department of Social Services, or his designee, to sign Amendment #1 to Agreement A-12785 with McWilliams-Mailliard Technology Group, Inc. adding $9,250, effective March 1, 2015, to provide an additional four (4) licenses and subscriptions and on-site training for Adult Protective Services staff; extending the contract term through June 30, 2016 and adding $15,960 for FY 2015/16, increasing the total contract amount to $38,560; and
b. Authorize the Director of the Department of Social Services, or his designee, to sign up to three (3) amendments to this agreement where the total amendments do not exceed 10% of the original contract amount, and do not significantly change the scope of work.
 
SUMMARY/DISCUSSION:
Since 2014, Contractor has provided AACTS software that fully supports Adult Protective Services (APS) case management data entry, client documentation and prepares statistical data for required monthly reports to the State.  The four (4) additional licenses will allow for full integration of the software's intake feature and will improve overall data measures for the Adult Protective Services Program.  A total number of six (6) individual users will receive on-site training, as opposed to several one-on-one training sessions.  A consolidated training class will allow for faster implementation of the intake feature and streamline the referral process.  The inclusion of the $15,960 will allow an extension of the overall contract for Fiscal Year 2015-16.
 
OTHER AGENCY INVOLVEMENT:
The Auditor-Controller and Purchasing have reviewed and approved this Amendment.  County Counsel has approved the Amendment as to form.
 
FINANCING:
This agreement is funded with Federal, State and Realignment funds. The additional costs are fully funded by Federal, State and Realignment funds. Sufficient appropriations and estimated revenues for SOC005 are included in the FY 2014-15 Adopted Budget, and anticipated to be available for the life of the Agreement. Costs for FY 2015-16 will be incorporated as part of the budget process. Approval of this action will not have an impact to the County General Fund.
