RECOMMENDATION:
It is recommended the Board of Supervisors authorize the Purchasing Manager for Natividad Medical Center (NMC) to execute Amendment No. Five to the Agreement (A-11574) with Gallun Snow Associates Inc. for Interior Design Services at NMC, extending the Agreement to June 30, 2013 and adding $142,000 for a revised total Agreement amount not to exceed $640,499 in the aggregate.
SUMMARY/DISCUSSION:
Gallun Snow Associates, Inc. is an interior design firm that specializes in hospital design; creating a holistic, healing environment. Natividad Medical Center has had an agreement with Gallun Snow Associates, Inc. since Fiscal Year 2009. NMC desires to increase the existing contract with Gallun Associates, Inc. by $142,000 for Fiscal Year 2013 in order to complete in process projects that have started in Fiscal Year 2012. It is important from a design continuity perspective for NMC to continue utilizing Gallun Snow Associates, Inc. on existing projects that are in progress. NMC plans to go out for Request for Qualifications in early Fiscal Year 2013 for design services for new future projects. The scope of work for Gallun Snow Associates, Inc. will include the following:
Specialty Clinics- To complete contract administration, art installation, and participate on weekly meetings
Med Surg 3- To complete construction documents, liaise with the architect, provide contract administration during construction, and to complete and install the art package
History Wall- To complete design development, finalize construction documents, and coordinate contract administration during construction
Doctors' Lounge Remodels- To field questions during the bid process for the furniture selections, finalize the art package, and provide contract administration during construction
Administration Remodel- To provide contract administration during construction, complete the art package, and coordinate contract administration for all specified furnishings
Radiology- To provide follow up with the architect on design finishes and to provide contract administration services during construction
Building 400 Third Floor- To finalize the design finishes for the third floor space, participate in weekly meetings with the architect and county stakeholders, produce Design Development Documents and contract documents for the architect, and to provide contract administration during construction
Outpatient Surgery- To provide contract administration during construction
Emergency Room- To finalize schematic design for the Rapid Medical Evaluation area of the Emergency Room, finalize finish documentation, furniture specifications, and provide contract administration services during construction
OTHER AGENCY INVOLVEMENT:
County Counsel has reviewed and approved this Amendment as to legal form and risk provisions. Auditor-Controller has reviewed and approved this Amendment as to fiscal provisions. The Amendment has also been reviewed and approved by Natividad Medical Center's Board of Trustees.
FINANCING:
The cost for this Amendment is $142,000 and is included in the Fiscal Year 2012/2013 Recommended Budget. There is no impact to the General Fund.
