a. Approve and authorize the Director or designee of the Department of Social Services to sign Amendment No. 1 to Agreement #A-16211 with One Workplace to purchase furniture and installation for the Department of Social Services by adding $2,500,000 for a new revised contract total of $4,500,000 with no change to the contract term of April 19, 2023 through June 30, 2028; and
b. Authorize the Director or designee of the Department of Social Services to sign up to three amendments to this Agreement where the total amendments do not exceed 10% ($450,000) of the amended contract amount, do not significantly change the scope of work, and do not exceed the maximum aggregate amount of $4,950,000.

RECOMMENDATION:
It is recommended that the Board of Supervisors:
a. Approve and authorize the Director or designee of the Department of Social Services to sign Amendment No. 1 to Agreement #A-16211 with One Workplace to purchase furniture and installation for the Department of Social Services by adding $2,500,000 for a new revised contract total of $4,500,000 with no change to the contract term of April 19, 2023 through June 30, 2028; and
b. Authorize the Director or designee of the Department of Social Services to sign up to three amendments to this Agreement where the total amendments do not exceed 10% ($450,000) of the amended contract amount, do not significantly change the scope of work, and do not exceed the maximum aggregate amount of $4,950,000.
SUMMARY/DISCUSSION:
This agreement is for the provision of ergonomic furniture including sit/stand adjustable desks, workstation paneling, cabinets, office chairs, conference room furniture, monitor arms, and other peripheral office furniture and equipment. The agreement also provides for design lay-out, delivery, installation, training, and removal of old furniture. One Workplace will pay prevailing wages pursuant to California Labor Code and comply with all its requirements.
Department of Social Services is currently remodeling 713 La Guardia office to accommodate staffing needs of the department. As well as to purchase and install necessary furniture that needs to be replaced due to being old/broken and also mitigate rising worker’s compensation claims and costs associated with employee ergonomic assessments.
The Department of Social Services (DSS) issued RFP #10879 on September 22, 2022; One Workplace was awarded.
OTHER AGENCY INVOLVEMENT/COMMITTEE ACTIONS:
The Office of County Counsel has reviewed and approved the Agreements as to form, as has the Auditor-Controller’s Office as to financial provisions.
FINANCING:
Funding for this agreement is provided with a combination of Federal, State and Realignment revenues. Sufficient appropriations and estimated revenues in SOC005 are included in the FY 2025-26 Adopted Budget. Future costs will be incorporated into the corresponding budget process.
