Title: a. RECOMMENDATION:

It is recommended that the Board of Supervisors:

a. Approve and authorize the Contracts/Purchasing Officer or Contracts/Purchasing Supervisor to execute Amendment No. 1 to the Standard Agreement MYA*6195 between the County of Monterey and One Workplace L Ferrari dba Peninsula Business Interiors, for office furniture design, planning, delivery and installation services for Public Works, Facilities and Parks, to increase the not to exceed amount by $300,000, for a total not to exceed amount of $400,000 and to extend the term through December 4, 2027; and

b. Authorize the Contracts/Purchasing Officer or Contracts/Purchasing Supervisor to execute Amendment No. 1 to Standard Agreement MYA*6195, subject to approval as to form by the Office of the County Counsel and approval as to fiscal provisions by the Auditor-Controller’s Office.

 

SUMMARY/DISCUSSION:

The County and One Workplace L Ferrari dba Peninsula Business Interiors (hereinafter “One Workplace”) have negotiated an amendment to Agreement MYA*6195 to extend the term through December 4, 2027 and increase to the not to exceed amount by $300,000, for a total not to exceed amount of $400,000. The Amendment will allow One Workplace to continue to provide office furniture and related design and installation services for Public Works, Facilities and Parks (PWFP).

 

One Workplace is the only local vendor authorized to provide Steelcase furniture. The Agreement is awarded through a competitively bid cooperative agreement under Sourcewell, giving the County access to national pricing discounts. The extended term of December 4, 2027 matches the Sourcewell contract term. The not to exceed increase of $300,00 will cover anticipated furniture projects managed by PWFP, as well as future projects that may develop over the next few years. If a large project requires additional contract capacity, staff will return to the Board for any additional not to exceed increases.

 

OTHER AGENCY INVOLVEMENT:

The Office of the County Counsel has reviewed and approved Amendment No. 1 as to form.  The Auditor-Controller’s Office has reviewed proposed Amendment No. 1 as to fiscal provisions.

 

FINANCING:

There is no minimum guaranteed work under this Agreement.  Funding for individual work orders is verified within the approved budget allocations prior to commencement of work. The proposed not to exceed amount of $400,000 for Agreement MYA*6195 is intended to allow services to continue in future fiscal years.

 

BOARD OF SUPERVISORS STRATEGIC INITIATIVES:

The Board’s approval of Amendment No. 1 will allow the County to continue to provide safe, functional, ergonomic workspaces for its employees.
