RECOMMENDATION:
It is recommended that the Board of Supervisors approve and authorize the Contracts/Purchasing Officer, or his designee, to execute Renewal and Amendment No. 1 to the Agreement with Palmer Audio Event Services for audio visual services for the premier events at WeatherTech Raceway Laguna Seca, extending the Agreement an additional two (2) year period (January 1, 2021 through December 31, 2022) for a revised full agreement term of October 15, 2020 through December 31, 2022, and adding $185,000 for a revised total agreement amount not to exceed $223,000.
SUMMARY/DISCUSSION:
This request supports an amendment to the agreement with Palmer Audio Event Services for audio visual services for the premier events at WeatherTech Raceway Laguna Seca for the years 2020-2022. The use of Palmer Audio is a vital component to providing the required televisions and related audio-visual services during race events.
The 2020 needs were greatly reduced due to the COVID-19 pandemic and subsequent State and County mandates to not allow spectators. Amendment No. 1 will extend the Agreement through December 31, 2022 and increase the amount due to the vendor in an amount not to exceed $223,000. Additionally, event dates have been specified and flat fees for the events have been negotiated as outlined in the amendment. All remaining terms, conditions and provisions of the original Agreement are unchanged and unaffected by Amendment No. 1 and shall continue in full force and effect as set forth in the Agreement.
OTHER AGENCY INVOLVEMENT:
The Office of County Counsel has approved the Amendment as to form.
FINANCING:
The contract with Palmer Audio Event Services is funded through Fund 453 Laguna Seca Budget Unit 8536. Funding for the Agreement is included in the FY 2020-2021 Approved Budget. Approval of the recommended action will have no additional impact on the County General Fund.
