RECOMMENDATION:
It is recommended the Board of Supervisors:
Authorize the Deputy Purchasing Agent for Natividad Medical Center (NMC) or his designee to execute amendment No. 7 to the agreement (A-12885) with Forward Advantage, Inc. for Forward Advantage File Pick-Up module and support services and adding $10,250 for a revised total agreement amount not to exceed $199,457.
SUMMARY/DISCUSSION:
Forward Advantage’s Communication Director provides NMC centralized faxing and information exchange capabilities across the enterprise. It integrates with Medical Information Technology, Inc. (MEDITECH), NMC’s Electronic Health Record (EHR) system and provides inbound fax management and electronic desktop faxing as well as automated and intelligent report distribution.
NMC is requesting to amend the current Forward Advantage agreement in order to purchase the File Pick-Up module which leverages the existing Communication Director system to automatically monitor and proactively seek out readable PDF files that are dropped into a designated folder. Communication Director can then send those PDFs via any delivery method. This reduces manual faxing and emailing of files received from various sources.
OTHER AGENCY INVOLVEMENT:
County Counsel reviewed and approved this amendment No. 7 as to legal form, and the Auditor-Controller reviewed and approved as to payment provisions. The amendment No. 7 was reviewed and approved by NMC’s Finance Committee on June 27, 2019 and by its Board of Trustees Executive Committee on July 2, 2019.
FINANCING:
The cost for this amendment No.7 is $10,250, all of which is included in the Fiscal Year 2019-20 Adopted Budget.
BOARD OF SUPERVISORS STRATEGIC INITIATIVES:
Forward Advantage’s Communication Director File Pick-Up module will reduce manual effort by NMC staff and ensure that orders and other communication are routed appropriately and in a timely manner.
