a. Authorize the Chief Information Officer or his designee to execute Amendment No. 1 to the Standard Agreement with MagOne Media Incorporated for added video production services on an as-needed basis, with a term date of February 21, 2025 to February 20, 2028, adding $240,000 for a revised agreement total of $340,000; and
b. Authorize the Chief Information Officer or his designee, to execute order forms and such documents on an as-needed basis necessary to implement the Amendment No. 1 with MagOne Media Incorporated; and
c. Authorize the Chief Information Officer or his designee the option to extend the agreement up to three (3) additional one (1) year periods through February 20, 2031, and sign associated Order Forms, provided that the total additional costs do not exceed ten percent of the prior year’s cost, with a maximum total increase of $412,645 for a total agreement not to exceed amount of $752,645 and as long as the Order Forms do not significantly alter the terms of the Agreement, even if no additional Agreements are entered into, subject to County Counsel review.

RECOMMENDATION:
It is recommended that the Board of Supervisors:
a. Authorize the Chief Information Officer or his designee to execute Amendment No. 1 to the Standard Agreement with MagOne Media Incorporated for added video production services on an as-needed basis, with a term date of February 21, 2025 to February 20, 2028, adding $240,000 for a revised agreement total of $340,000; and
b. Authorize the Chief Information Officer or his designee, to execute order forms and such documents on an as-needed basis necessary to implement the Amendment No. 1 with MagOne Media Incorporated; and

SUMMARY:
The County has entered a Standard Agreement with MagOne Media Incorporated to provide video production services in February 2025. The amendment is requesting an additional $240,000 which brings the not to exceed amount to $340,000, this action requires the Board of Supervisor’s approval.
DISCUSSION:
The Agreement with MagOne Media Incorporated provides the County with production and broadcasting services on an as-needed basis.
The vendor also delivers video recording services of budget meetings and other special public meetings specified by the Clerk of the Board. There is a maximum of twelve public meetings, monthly recurring and special meetings broadcast to YouTube, Facebook, and the Government Channel.
Approval of this amendment will increase the total contract amount allowing services to continue as requested and due to an additional demand in these types of services by County Administrative Office Public Information Officer.
OTHER AGENCY INVOLVEMENT/COMMITTEE ACTIONS:
County Counsel has reviewed the agreement and approves as to legal form. Auditor-Controller’s Office reviewed the contract and agrees to the standard payment provisions.
FINANCING:
The funds for payment of the costs of this Agreement have been included in the Fiscal Year 2025-2026 Adopted Budget for the Information Technology, ITD 1930, Appropriation Unit INF002. All future year costs will be included in the Requested Budget for each of the respective fiscal years.
BOARD OF SUPERVISORS STRATEGIC PLAN GOALS:
The services provided pursuant to this agreement will support the video production services for the County’s Board of Supervisors meetings and other meetings in the community.
