RECOMMENDATION:
It is recommended that the Board of Supervisors:
 
a. Adopt Plans and Special Provisions for the Roof Repairs and Renovations 1200 Aguajito Road-Courthouse Roof Replacement, Project No. 8543, Bid Package No. 10418; and
b. Authorize the Director of Public Works to advertise the "Notice to Contractors" in the Monterey County Weekly.
 
SUMMARY/DISCUSSION:
Staff is seeking adoption of Plans and Special Provisions and authorization to proceed with the advertising for the Roof Repairs and Renovations 1200 Aguajito Road-Courthouse Roof Replacement, Project No. 8543, Bid Package No. 10418 (Project).  The bid opening is set for June 26, 2014, at 2:00 p.m., in the Board of Supervisors' Conference Room 1032, Monterey County Government Center, 168 West Alisal Street 1st Floor, Salinas, California 93901.  The "Notice to Contractors" will be duly advertised in the Monterey County Weekly.
 
The Scope for Base Bid, in general, consists of installation of a new roof system and related equipment.  The lowest responsible and responsive bidder will be determined for the project by the Base Bid.  Engineer's Estimate for construction of base bid elements is $176,171.  The work is anticipated to begin in late September, with completion anticipated by November 2014.
 
OTHER AGENCY INVOLVEMENT:
The Office of the County Counsel, Auditor-Controller, and Risk Management have reviewed and approved the Special Provisions as to form and legality, fiscal terms, and insurance provisions, respectively.  
 
FINANCING:
There is no impact to the General Fund.  As part of the FY 2013-14 budget adoption, this project was included in the Fund 402 Project Listing with $200,000 appropriated. There are sufficient funds in the FY 2013-14 adopted budget for Fund 402 to cover estimated costs for the recommended project scope, including design, construction, and project management.  The Administrative Office of the Courts has provided a letter of approval for their share cost amount of $100,280 per their Joint Occupancy Agreement, 50.14 percent of the estimated total project cost of $200,000.
