Report
RECOMMENDATION:
It is recommended that the Board of Supervisors approve and authorize the Monterey County Laguna Seca Representative to execute a retroactive Amendment No. 1 to the Standard Agreement with Kyler Engineering, for an agreement term of September 22, 2023 through October 1, 2023, to provide structural engineering observations and anchorage testing for temporary structures installed for the Porsche Rennsport Reunion 7 at WeatherTech® Raceway at Laguna Seca to increase the not to exceed sum by $10,601 with an amended not to exceed sum of $20,601.
SUMMARY/DISCUSSION:
Kyler Engineering, Inc. (Kyler) is a local, full-service structural engineering firm. Kyler Engineering is led by a team of experienced professionals who have worked extensively in the Monterey Bay Area, San Francisco, San Diego, and the Lake Tahoe region. Services include custom residential, structural engineering construction support, equipment anchorage, and permitting.
A Standard Agreement (Agreement) was executed with Kyler for structural engineering observations and anchorage testing services for temporary structures installed at WeatherTech® Raceway at Laguna Seca for a term of September 22, 2023, to October 1, 2023, with a not to exceed sum of $10,000 (Attachment A). Due to the extensive build-out for the Porsche Rennsport Reunion 7 event, the initial quote provided by Kyler was insufficient to allow proper time for observation and review of the various structures. The proposed Amendment No. 1 (Attachment B) increases the not to exceed amount by $10,601 with a new not to exceed amount of $20,601 to cover the additional costs.
Staff requests the Board of Supervisors to approve and authorize the Monterey County Laguna Seca Representative to execute the proposed retroactive Amendment No. 1 to increase the not to exceed sum to $20,601.
OTHER AGENCY INVOLVEMENT:
The Office of County Counsel and Auditor-Controller’s Office reviewed and approved the proposed Agreement as to form and fiscal provisions, respectively.
FINANCING:
The cost of the contracted services provided by Kyler Engineering, Inc. is not to exceed $20,601 for the duration of the Agreement. There are sufficient funds in the Approved Budget for Fiscal Year 2023-2024, Fund 453, Unit 8579, Appropriation Unit PFP067 for Laguna Seca Recreation Area.
BOARD OF SUPERVISORS STRATEGIC INITIATIVES:
The recommended action supports the Board of Supervisors Strategic Initiative for Public Safety. Confirming the temporary structures were properly set up and included correct anchorage according to engineer plans helps to maintain a safe environment for visitors to County facilities.
