RECOMMENDATION:
It is recommended that the Board of Supervisors approve and authorize the Contracts/Purchasing Officer or Contracts/Purchasing Supervisor to execute Amendment No. 1 to the Agreement with Choura Events (RFP No. 10703) for Temporary Hospitality Structures at WeatherTech Raceway Laguna Seca.
SUMMARY/DISCUSSION:
The County previously entered into an agreement with Choura Events for the installation of a Temporary Hospitality Structure for five (5) racing seasons - 2019 through 2023 (the County has an option for a second such structure, which has not been exercised). The Structure was in place for the 2019 racing season, and the agreement provided that the structure would be disassembled no later than October 30, 2019, and then reinstalled for the 2020 racing season commencing on April 1, 2020. Choura Events wishes to extend duration of the installation to include the period November 1, 2019 through March 31, 2020, in order to avoid disassembly of the structure between the current 2019 season dates and the 2020 season dates.
The structure will be prepared for the seasonal change by Choura Events for winter months and then prepared for the new 2020 race season with an additional Monterey Regional Fire Department inspection report at their expense. Use of the structure during the additional period will be permitted.
The proposed amendment also cleans up some ambiguities in the agreement relating to the term of the agreement, the payment schedule and the exercise of an option by the County to utilize the hospitality structure in the 2021 - 2023 racing seasons.
OTHER AGENCY INVOLVEMENT:
The Office of County Counsel has reviewed and approved the Amendment.
FINANCING:
No additional funds are requested or required for this amendment.
