RECOMMENDATION:
It is recommended that the Board of Supervisors:
Approve the reallocation of one (1) Legal Secretary FTE to one (1) Supervising Legal Secretary FTE in the District Attorney's Department, Budget DIS001-2240.
SUMMARY:
The current Supervising Legal Secretary is supervising approximately 28 support staff, which is too great a burden on this employee. Using a single supervisor was attempted over the past 24 months and it was clear this supervisory burden was excessive and additional resources were required. Normal supervisor to staff ratios are approximately 10 subordinates to a single supervisor and the current ratio is too high for a single supervisor to sustain.
 
DISCUSSION:
A request for reclassification was prepared by the District Attorney and approved by the Human Resources Department on July 7, 2014. Reclassification of a currently vacant Legal Secretary position to an additional Supervising Legal Secretary will increase the number of Supervising Legal Secretaries in the department to two (2) and will lower the supervisor to employee ratio to approximately 14 subordinates per supervisor.  
 
OTHER AGENCY INVOLVEMENT:
The Human Resources Department has reviewed and approved the Request to Classify form and concurs with the classification recommendation.
 
FINANCING:
When authorized by the Board, the expense of this action will be financed using existing resources and will not require any additional funding.
