Approve and authorize the Treasurer-Tax Collector or their designee to execute Amendment No.1 to Agreement A-17304 with Neumo Justice Systems, LLC, formerly known as Columbia Ultimate Business Systems, LLC, to provide a hosted Voice over Internet Protocol (VoIP) phone system with voicemail and multi-line calling service to aid in the collection of court-ordered fines and fees for a revised term of July 1, 2024 to December 31, 2026, and increasing the Agreement amount by $125,000, for a revised total agreement amount not to exceed $225,000.

RECOMMENDATION:
It is recommended that the Board of Supervisors:
a. Approve and authorize the Treasurer-Tax Collector or their designee to execute Amendment No.1 to Agreement A-17394 with Neumo Justice Systems, LLC, formerly known as Columbia Ultimate Business Systems, LLC, to provide a hosted Voice over Internet Protocol (VoIP) phone system with voicemail and multi-line calling service to aid in the collection of court-ordered fines and fees for a revised term of July 1, 2024 to December 31, 2026, and increasing the Agreements amount by $125,000, for a revised total agreement amount not to exceed $225,000.
SUMMARY:
With Board approval, the Treasurer-Tax Collector executed Retroactive Non-Standard Agreement A-17394 (Agreement) with Columbia Ultimate Business Systems, LLC (Contractor) on May 13, 2025, for a term of July 1, 2024, through December 31, 2025, for an amount not to exceed $100,000 to provide a hosted VoIP phone system with voicemail. To avoid any disruption in services the Treasurer-Tax Collector recommends extending and increasing the Agreement and reflecting the change of name of the Contractor through December 31, 2026, with a total cost not to exceed $225,000.
DISCUSSION:
