RECOMMENDATION:

It is recommended the Board of Supervisors:

Authorize the Deputy Purchasing Agent for Natividad Medical Center (NMC) or his designee to execute renewal and amendment No. 1 to the agreement with Kit Check for scanning equipment and web-based software to automate the pharmacy kit processing at NMC, extending the agreement an additional three year period (August 15, 2017 through August 14, 2020) for a revised full agreement term of August 15, 2014 through August 14, 2020, and adding $87,000 for a revised total agreement amount not to exceed $182,000.

SUMMARY/DISCUSSION:

Kit Check is the leader in automated hospital pharmacy kit processing and medication tracking software.  Since 2012, Kit Check has focused on replacing time consuming and error prone manual processes in hospital medication handling with faster and safer automation technologies driven by a scalable cloud software platform.  NMC has subscribed to Kit Check since 2014.

Kit Check provides scanning equipment and web-based software which enables NMC to automate its pharmacy kit processing.  Kit Check supplies equipment consisting of 1 scanning station, 1 RFI printer suitable for printing the Kit Check RFID labels, and 1 desktop barcode scanner which is used in conjunction with Kit Check’s standard web-based kit processing software.

Kit Check has provided installation services and training for authorized personnel in the use of the equipment and software services.  Kit Check also supplies NMC with the RFID labels and tags suitable for use with the RFIP printer which come in two forms, a regular tag used on various surfaces and a metal-mount tag can be used specifically to affix to metal surfaces.

NMC wishes to renew and amend this agreement for an additional three year period.  This will allow NMC to continue the use of the web-based software at the same rates stated in the original agreement.

OTHER AGENCY INVOLVEMENT:

County Counsel has reviewed and approved this renewal and amendment No. 1 as to legal form and risk provisions, and the Auditor-Controller has reviewed and approved as to payment provisions. The renewal and amendment no. 1 has also been reviewed and approved by NMC’s Finance Committee on 7/27/17 and by its Board of Trustees on 8/4/17.

FINANCING:

The cost for this renewal and amendment No. 1 is $87,000 of which $30,000 is included in the Fiscal Year 2017-18 Adopted Budget. There is no impact to the General Fund.
