a. Authorize the Deputy Purchasing Agent for Natividad Medical Center (NMC) or his designee to execute amendment No. 1 to the agreement with Visual Net Design for website update and web hosting services, adding $150,000 for a revised total agreement amount not to exceed $183,988, with no changes to the existing agreement term May 1, 2018 through April 30, 2021.
b. Authorize the Deputy Purchasing Agent for NMC or his designee to execute up to three (3) future amendments to the agreement which do not significantly alter the scope of work and do not cause an increase of more than ten percent (10%) ($3,398) of the original cost of the agreement per each amendment.

RECOMMENDATION:
It is recommended the Board of Supervisors:
a. Authorize the Deputy Purchasing Agent for Natividad Medical Center (NMC) or his designee to execute amendment No. 1 to the agreement with Visual Net Design for website update and web hosting services, adding $150,000 for a revised total agreement amount not to exceed $183,988, with no changes to the existing agreement term May 1, 2018 through April 30, 2021.
b. Authorize the Deputy Purchasing Agent for NMC or his designee to execute up to three (3) future amendments to the agreement which do not significantly alter the scope of work and do not cause an increase of more than ten percent (10%) ($3,398) of the original cost of the agreement per each amendment.
SUMMARY/DISCUSSION:
Natividad is recommending that the current agreement for hosting services with Visual Net Design be expanded to also include Support Services (i.e. software updates, security monitoring, and assistance with troubleshooting to diagnose software issues). As a part of Natividad’s rebranding in May of 2018, several new websites were developed to market and provide information to our patients and the community on the services and providers available within the organization. In an effort to reach our target audience Natividad currently has an English and a Spanish website that are distinct and separate. The development of the Spanish site will help ensure the accuracy of the translation, as it will be translated by internal Medical Interpreters or a trusted vendor with whom Natividad Medical Center currently utilizes to assist with other language access services.
The approval of this agreement will help us to ensure that the websites provide up to date and accurate information related to services, contact information, and information on the health related matters which the organization feels is important to our community.
OTHER AGENCY INVOLVEMENT:
County Counsel has reviewed and approved this amendment as to legal form, and the Auditor-Controller has reviewed and approved as to payment provisions. The amendment has also been reviewed and approved by NMC’s Finance Committee on February 28, 2019 and by its Board of Trustees on March 1, 2019.
FINANCING:
The cost for this amendment No. 1 is $150,000 of which $50,000 is included in the Fiscal Year 2018-19 Adopted Budget. Amounts for remaining years of the agreement will be included in those budgets as appropriate.
BOARD OF SUPERVISORS STRATEGIC INITIATIVES:
This amendment allows for hosting services resulting in a website with up to date and current information thus improving the health and quality of life through County supported policies, programs and services while promoting access to equitable opportunities for health choices and health environments in collaboration with communities.
