RECOMMENDATION:

 

It is recommended the Board of Supervisors:

 

a. Authorize the Deputy Purchasing Agent for Natividad Medical Center (NMC) or his designee to execute amendment No. 2 to the agreement (A-13620) with The CBORD Group, Inc. for hospital food and nutrition software services, extending the agreement for an additional thirteen month period (July 11, 2019 through July 31, 2020) for a revised full agreement term of July 11, 2017 through July 31, 2020, and adding $12,510 for a revised total agreement amount not to exceed $134,426.

 

 

SUMMARY/DISCUSSION:

 

Natividad Medical Center, as part of its operations, provides food and nutritional services to patients, visitors and employees.  Providing patients a range of dining options, with clear notification of allergen and nutritional information, greatly increases overall wellness and satisfaction and shortens lengths of stay. CBORD’s patient nutrition solutions helps Natividad manage multiple complex diet orders, meeting individual nutritional requirements and ensuring patient safety and regulatory compliance with Joint Commission (TJC) and Centers for Medicare and Medicaid Services (CMS) food services standards.

 

The CBORD software provides automation to the process of patient meal service, reporting, and analysis. This includes interfacing with our current Meditech system, improved diet order accuracy, production standards, and reduced waste. In addition, CBORD supports our future goal of expansion of meal service to the room service model where patients would be able to order meals from bedside.

 

NMC requests an amendment to the existing agreement to extend service and maintenance for an additional one year and 20 days.  The additional 20 days is added to account for an anomaly within CBORD’s system which causes all agreements to terminate at the end of a month.  The 20 days brings the County’s termination date in line with CBORD’s termination date.

 

OTHER AGENCY INVOLVEMENT:

 

County Counsel has reviewed and approved this amendment No. 1 as to legal form, and the Auditor-Controller has reviewed and approved as to payment provisions. The amendment No. 1 has also been reviewed and approved by NMC’s Finance Committee and by its Board of Trustees on June 7, 2019.

 

FINANCING:

 

The cost for this amendment No. 1 is $12,510 which is included in the Fiscal Year 2019-20 Approved Budget. There is no impact to the General Fund.

This agreement is for a software system which will improve food and nutrition services for NMC patients and will directly contribute to a more efficient and effective use of resources within the organization
