Title

Report

RECOMMENDATION:

It is recommended that the Board of Supervisors:

a. Approve and authorize the Director of the Department of Social Services to sign amendment #1 to Agreement 5010-A-13540 with One Workplace L. Ferrari, LLC. adding $1,150,000 and extending the term of the agreement through December 31, 2021, increasing the contract total to $2,350,000 to purchase furniture and furniture installation for the Department of Social Services;

b. Approve and authorize the Director of the Department of Social Services to sign amendment #1 to Agreement 5010-A-13545 with KBM-Hogue, deleting $1,150,000 and extending the term of the agreement through December 31, 2021, decreasing the contract total to $50,000 to repair and purchase parts on existing furniture for the Department of Social Services; and

c. Authorize the Director of the Department of Social Services to sign up to three (3) additional amendments to this Agreement where the total amendments do not exceed 10% ($235,000) of the current amended contract amount and do not significantly change the scope of work.

 

SUMMARY/DISCUSSION:

The Department of Social Services (DSS) issued RFP #10607 on February 23, 2017 and two proposals were awarded, Peninsula Business Interiors (PBI) and KBM-Hogue (KBM), for $1,200,000 each. In 2018, PBI was acquired by One Workplace L. Ferrari, LLC. (One Workplace) and the County continues to do business with One Workplace through an Assignment and Assumption Agreement. These contracts allow DSS to purchase necessary furniture, installation and make repairs as necessary over the term of the agreement. 

 

DSS has tried to work with KBM, but they have been unresponsive.  One Workplace has been responsive and is willing to meet the furniture needs for this department.  The department is bringing these agreements back to the Board for adjustments, shifting the amounts evenly between the two amendments, and extends the term of the agreements out to 2021.  This does not change the overall approval of $2,400.000.    

 

 

OTHER AGENCY INVOLVEMENT:

The Auditor-Controller and Purchasing have reviewed and approved these agreements. County Counsel has approved the agreements as to form.

 

 

FINANCING:

Funding for these two agreements are provided with a combination of Federal, State and Realignment revenues. Sufficient appropriations and estimated revenues in SOCOO5 are included in the FY 2019-20 Adopted Budget.  All future year costs will be included in the budget requests for each of the respective fiscal years.
