Approve and authorize the Contracts/Purchasing Officer or Contracts/Purchasing Supervisors  to sign a Renewal and Amendment No. 2 with Monterey Bay Office Products, Inc., dba Monterey Bay Systems (“MBS”), for the lease of two networked multi-function copiers/printers and related maintenance and supplies, extending the term by one year for a revised full term of August 1, 2015 through June 30, 2022, with no change to the total contract amount of $100,000.

RECOMMENDATION:

It is recommended that the Board of Supervisors approve and authorize the Contracts/Purchasing Officer or Contracts/Purchasing Supervisors  to sign a Renewal and Amendment No. 2 with Monterey Bay Office Products, Inc., dba Monterey Bay Systems (“MBS”), for the lease of two networked multi-function copiers/printers and related maintenance and supplies, extending the term by one year for a revised full term of August 1, 2015 through June 30, 2022, with no change to the total contract amount of $100,000.

 

SUMMARY/DISCUSSION:

MBS is a Salinas, California technology company providing computing, networking, business equipment services for government agency and private sector businesses. Pursuant to an agreement between MBS and the County of Monterey, on behalf of the Office of the County Counsel, MBS leased to County two Konica Minolta Bizhub multi-function copiers/printers (models 951 and C454e) and provided related maintenance services and supplies for the last six years. That agreement expired on June 30, 2021. The Office of the County Counsel anticipates it will lease new copier/printer equipment in the latter part of Fiscal Year 2021-2022 and seeks a renewal and amendment of this agreement to ensure continued use by the Office of the County Counsel of the current copiers/printers and continued payment of MBS’s invoices through June 30, 2022 while allowing the time necessary to negotiate and execute a new lease and install the leased equipment.

 

OTHER AGENCY INVOLVEMENT:

County Counsel has reviewed and approved the Renewal and Amendment No. 2 as to form.

Auditor-Controller has reviewed and approved as to financial terms.

 

FINANCING:

The cost for this Renewal and Amendment No. 2 is included in the FY 21-22 Approved Budget allocation of the Office of the County Counsel.
