RECOMMENDATION:

It is recommended that the Board of Supervisors: 

a. Approve and authorize the Monterey County Laguna Seca Representative to execute a Standard Agreement between TOURtech Support, Inc. dba Roundrock Technology and the County of Monterey for event I.T. services for WeatherTech® Raceway at Laguna Seca with a term beginning May 1, 2023, through December 31, 2023, for an amount not to exceed of $150,000;

b. Approve and authorize the Monterey County Laguna Seca Representative to execute up to three (3) future amendments to the Standard Agreement where the total amendments do not exceed 10%, or $15,000, of the agreement amount and do not significantly change the scope of work, subject to County Counsel approval.

 

SUMMARY/DISCUSSION:

TOURtech Support, Inc. dba Roundrock Technology (Roundrock), an IT system and support company, has utilized its cutting-edge technology and expertise to connect hundreds of thousands of people at music festivals, corporate gatherings, and sporting events.  Roundrock has been providing services at WeatherTech® Raceway at Laguna Seca (WRLS) premier events since 2019 for event-specific IT systems and support.

 

I.T. services are vital to the overall success of events held at WRLS and include temporary wiring and cabling, basic troubleshooting, and I.T. support to vendors participating in the season’s events.

 

Staff requests the Board of Supervisors approve the Standard Agreement and authorize the Monterey County Laguna Seca Representative to approve up to three future amendments where the total amendments do not exceed 10% or $15,000.

 

 

 

OTHER AGENCY INVOLVEMENT:

The Office of County Counsel and Auditor-Controller’s Office reviewed and approved the proposed Agreement as to form and fiscal provisions, respectively.

 

FINANCING:

The cost of the contracted services provided by TOURtech Support, Inc. dba Roundrock Technology is not to exceed $150,000 for the duration of the Agreement.  There is sufficient funding in the Fiscal Year 2022-2023 Adopted Budget, LSRA Fund 453, Budget Unit 8579, Appropriation Unit PFP067. Future budget requests will include sufficient appropriations should an amendment to the Agreement be executed.

 

BOARD OF SUPERVISORS STRATEGIC INITIATIVES:

The recommended action supports the Board of Supervisors Strategic Initiatives for Administration and Infrastructure as the services of Roundrock help onsite staff to administer to the needs of the attendees and various vendors as well as supply needed IT infrastructure to aid in services and communication for the events.
