RECOMMENDATION:

 

It is recommended the Board of Supervisors:

 

a. Authorize the Interim Chief Executive Officer for Natividad Medical Center (NMC) or a designee to execute renewal and amendment No. 9 to the agreement (A-12637) with Intelligent Medical Objects, Inc. for software license and software support and maintenance services, extending the agreement an additional one (1) year period (retroactive to May 1, 2026 through April 30, 2027) for a revised full agreement term of January 28, 2014 through April 30, 2027 and adding $149,249 for a revised total agreement amount not to exceed $1,181,383.

b. SUMMARY:

 

Intelligent Medical Objects (IMO) provides a suite of clinical interface terminology tools that enable electronic mapping to standardized medical vocabularies. This technology improves clinicians’ ability to search, record, and manage clinical terms using familiar language while ensuring accurate cross-mapping to standardized vocabularies such as SNOMED and ICD-9/ICD-10.

 

IMO’s dictionaries enhance accuracy in clinical documentation, billing, reporting, and clinical decision support by linking user-friendly terminology to required standardized code sets.

 

DISCUSSION

 

Using standard nomenclature is essential to effectively build reports to meet the requirements of Meaningful Use, as dictated by Centers of Medicare and Medicaid Services (CMS) and the Health Information and Technology for Economic Health Act (HITECH). Accurate electronic mapping and standardized coding are also critical for revenue recoupment with the required implementation of International Statistical Classification of Diseases and Related Health Problems (ICD-10).

 

MEDITECH, Natividad Medical Center’s electronic health record, has integrated with IMO to incorporate IMO’s mapping software into MEDITECH. Continued use of IMO is necessary to maintain compliance, support clinical documentation workflows, and ensure accurate data reporting across Natividad Medical Center.

 

OTHER AGENCY INVOLVEMENT:

 

The Office of County Counsel has reviewed and approved this renewal and amendment No. 9 as to form, and the Auditor-Controller has reviewed and approved as to payment provisions. The renewal and amendment No. 9 has also been reviewed and approved by NMC’s Finance Committee and by its Board of Trustees on June 5, 2026.

 

FINANCING:

 

The cost for this renewal and amendment No. 9 is $149,249 of which $149,249 is included in the FY 2025-26 Adopted Budget. Amounts for remaining years of the agreement will be included in those budgets as appropriate. There is no impact on the General Fund with this action.
